Job Description:
Summary
Oversees the administrative staff and administrative functions, and may fill in for vacant administrative staff roles from time to time.
Functions and Responsibilities
- Acquires and maintains familiarity with applicable firm policies and procedures.
- Supervises and evaluates the performance of all administrative staff.
- Provides formal training and informal feedback and coaching to administrative staff.
- When necessary, answers telephones and coordinates conference calls quickly and efficiently, using a multi-line telephone system.
- When necessary, receives and transmits telephone, fax, and email messages accurately and promptly, using the telephone system, fax machine, copy machine, and personal computer.
- When necessary, files library materials, workpapers, and correspondence.
- When necessary, assembles client tax returns.
- Maintains cash records, accounts receivable, and accounts payable ledgers.
- Proofreads reports and correspondence.
- Maintains employee files, insurance records, CPE records, staff independence confirmations, and other essential firm records.
- Processes the firm’s payroll accurately and in a timely fashion, and reviews, approves and processes staff expense reimbursements.
- Acts as the primary administrator for the firm’s benefit programs and plans, including its
401(k) plan and employee insurance programs. - Prepares and files the firm’s sales tax return accurately and in a timely fashion.
- Creates and distributes certain operating reports to appropriate professional staff members.
- Oversees the maintenance of office equipment, such as computers, printers and copiers.
- Acts as the primary point of contact for the firm’s IT service providers, coordinating IT
hardware and software projects, updates, issues and maintenance. - Oversees the billing process, updating and posting time entry records and reviewing invoices.
- Oversees the maintenance of client billing system data.
- Oversees the maintenance of client engagement binders and other client engagement data.
- Performs various other duties as assigned from time to time.
Prerequisites
- Prior experience in an administrative leadership role, preferably within a professional services firm, such as accounting, law, or consulting.
- Prior experience managing office operations, facilities maintenance, and administrative staff.
- Possesses the ability to perform several tasks concurrently with ease and professionalism.
- Familiar and experienced with general office equipment and the Microsoft Word, Excel, and aspects of other firm software applications.
