Job Title: CPA Firm Practice Administrator

 

Position Reports to:  Managing Partner

 

Job Purpose: Responsible for key support functions, including but not limited to reporting and analysis to assist in meeting firm financial and operational goals, manage office to ensure productive and efficient flow of work from project inception through presentation of client deliverables.

 

Position Responsibilities

  • Work with senior management to identify and address firm financial and operational reporting requirements.
  • Develop and implement process improvements that increase productivity and efficiency.
  • Prepare ad-hoc operational and financial reports and develop custom reports.
  • Develop, implement, and oversee processes that ensure the firm’s Practice database is accurate, complete and up to date.
  • Plan and coordinate company communication meetings, employee gifts and gatherings, including summer and holiday parties.
  • Accounts receivable, client billing, month-end close, year-end close, invoice and statement generation and collections.
  • Prepare and submit payroll; track and report on employees’ PTO (Paid Time Off) usage; process new hire paperwork and other insurance and/or benefit forms.
  • Reconcile 401(k)/Profit Sharing Plan employee accounts.
  • Coordinate benefits, review insurance options, open enrollment, and communications with insurance broker.
  • Ensure smooth operations by maintaining proper supply levels.
  • Prepare Vendor payments.
  • Oversee office support functions, including interfacing with landlord, consultants, third-party service providers, and vendors.
  • Cross-train with and oversee administrative support staff.
  • Maintain a positive attitude with staff and clients.

Qualifications

  • Bachelor’s degree, or Associates Degree with comparable work experience.
  • Experience in accounting firm administration a plus.
  • Ability to meet the required demands of the business and cope with fluctuation of volumes through seasonal cycles.
  • Strong knowledge of QuickBooks and Microsoft Office applications. Knowledge of Thomson Reuters Practice CS a plus. 
  • Excellent written and verbal communication skills.
  • Strong analytical ability.
  • Strong planning and organizational skills.
  • Accounting/financial background desirable.
